Jewelry Samples: A Buyer’s Bulk-Order Approval Checklist
Use a written sample review to compare dimensions, finish, fastening and agreed packaging before approving a larger jewelry purchase.
Updated 2026-11-03 · AODHY WholesaleAgree on the sample first
Ask which exact variant can be supplied as a sample and confirm the sample cost, shipping and any minimum quantity. State what you need the sample to demonstrate.
A sample of a different metal or size may help assess a design, but it should not silently become approval of an untested specification.
Use a repeatable inspection sheet
Check the sample against the agreed dimensions and appearance. Photograph it from front, back and side, and note any concerns with the fastening, edges or visible setting.
- Product and variant reference
- Dimensions and fit against the agreed specification
- Finish and setting observations
- Clasp or backing operation where applicable
- Packaging, labels and included components
Separate observations from test results
A visual inspection can record appearance and obvious workmanship concerns. It cannot establish metal composition, stone identity or a laboratory performance result on its own.
If your acceptance depends on a particular test or report, make that a separate requirement and ask which document applies to the actual sample.
Approve, revise or reject in writing
Send a short decision with photographs and the specification version. Keep an approved reference sample or a clear record for future comparison. Ask how agreed corrections will be reflected in the quotation.
Before ordering a larger quantity, confirm the item list and delivery terms. A sample approval does not itself reserve stock or guarantee a dispatch date.
